Job Summary

Reporting to the Manager of Events, the Events Coordinator will be responsible for the planning, execution and evaluation of exceptional external and internal events that support IBC’s membership and the insurance industry. Events include virtual, in-person, hybrid and/or other methods of delivery. Adept at managing all aspects of event logistics including being a strong communicator with a high degree of attention to detail and ability to manage multiple competing priorities. 

This individual is creative, enthusiastic and resourceful, extremely well organized, and can manage a number of projects simultaneously, including events, sponsorships, speaking engagements and design projects. 

Duties and Responsibilities

Event Planning and Management

  • Responsible for the development and delivery of end-to-end planning for IBC's signature external events including symposiums, conferences, receptions, and sponsor booth displays.
  • Develops and manages event budgets, including venues, F&B, transportation, swag inventory and maintains comprehensive budgeting tracking and reporting.
  • Specializes in utilizing various online systems (event management platforms, virtual streaming tools, Robohead, etc.) and email marketing tools to distribute compelling marketing material, such as event invitations, reminders, post-event surveys and other event-related communications as required.
  • Responsible for producing event reports, including collecting audience data from post-event feedback surveys, poll question results, engagement reports, registration and attendee information, etc. to target areas of improvement and allow stakeholders to benchmark goals for future events.

Relationship Management

  • Responsible for building relationships with senior level stakeholders/business partners throughout the event planning, execution and evaluation processes. 
  • Manages vendor relationships, including negotiating contracts and ensuring vendors are meeting expectations; collaborates with vendors to procure and customize event swag, sponsor apps and/or virtual streaming tools, and evaluates ROI.
  • Acts as a continual point of contact and support for speakers while coordinating scripts, presentation decks, headshots, rehearsal and technical test meetings, run of show documents, etc.  

Marketing and Brand Building

  • Assists in the preparation and distribution of electronic and printed materials and collateral for events and conferences to ensure consistency and accuracy in messaging and branding.
  • Responsible for ensuring all event aspects, including promotional marketing, swag, electronic and printed collateral, exhibitor booth elements, etc. follow IBC's branding guide.

Employee Engagement

  • Collaborates with various IBC internal committees and supports HR initiatives.

Experience and Qualifications

  • Minimum 3+ years of experience in corporate communications/public relations/event management.
  • Degree or diploma in Communications, Marketing, Public Relations or related field.
  • Exceptional event planner with demonstrated ability to manage every detail of virtual and in-person events: strategy, presentations, audiovisual, venue logistics, event platform management, catering, registration, and execution.
  • Demonstrated time management skills and an ability to prioritize and manage multiple concurrent projects.
  • Exceptional interpersonal skills demonstrating a collaborative approach with a willingness to engage constructively with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite.
  • Experienced in working with online event platforms (MS Teams, MS Live, GoToWebinar, Zoom, etc., Effective Registration, CVent, EventBrite).
  • Experienced with using email marketing tools (MailChimp, Survey Monkey).
  • Exceptional problem solving skills.
  • Creative, enthusiastic and resourceful, extremely well organized, and can manage a number of projects simultaneously, including events, sponsorships, speaking engagements and design projects.
